1. Who we are

ScentPass is a personal fragrance journal app developed by GanbareLabs, an independent developer. If you have any questions about this Privacy Policy or how your data is handled, you can reach us at:

2. What data we collect

ScentPass is designed to collect only what is necessary to provide and improve the service.

In every mode, including guest mode:

App usage data, such as the screens you open, the fragrances you view, and the searches you make in the catalog.
Crash reports and performance diagnostics.
Device identifiers, such as an app instance ID and a notification token.
Approximate location (country or region), inferred from your IP address. We never access your precise location.

In guest mode, your olfactory profile and fragrance collection are stored on your device only.

If you create an account (email and password, Google, or Apple):

Your name and email address. With Apple, you can choose to hide your email.
A user ID and the username shown on your reviews.
Your olfactory profile (favorite fragrance families, occasions, signature scent).
Your fragrance collection (fragrances you own, have tried, or want to try).
Your reviews: the optional text you write and your ratings (sentiment, longevity, sillage, season, time of day, and gender).

Signing in is optional. The app’s core features are accessible without an account; publishing reviews requires one.

Camera: if you use the bottle scanner, the app accesses your camera only while the scanner is open, and the photo is used to identify the fragrance.

3. How we use your data

To save and sync your fragrance collection and olfactory profile across devices.
To publish your reviews and include your ratings in the community scores of each fragrance.
To moderate reviews and keep the community safe.
To send you notifications, if you allow them.
To understand how the app is used, fix errors, and improve features.

We do not sell your data. We do not share your data with advertisers or third parties for marketing purposes.

4. Public reviews

Reviews are public. Other users can see the text of your review together with your username and avatar, and, on the full reviews screen, the ratings you gave. Your ratings also contribute to the aggregated community scores of each fragrance.

Before a review is published, its text is checked automatically by an AI moderation service that processes it only for that purpose. Other users can report a review; reported reviews are checked by us and may be hidden or removed. See the community guidelines in our Terms & Conditions.

You can edit or delete your reviews at any time.

5. Where your data is stored

Your data is stored under standard security practices and encrypted in transit.

6. Third-party services

ScentPass uses the following third-party services, which process data on our behalf:

Supabase — authentication and cloud data storage. Privacy Policy.
Google Sign-In and Sign in with Apple — optional authentication. Governed by Google’s and Apple’s privacy policies.
Firebase Analytics, Crashlytics, Cloud Messaging, and Remote Config (Google) — usage analytics, crash reports, notifications, and app configuration. Google Privacy Policy.
AI moderation service — checks the text of reviews before they are published. It receives only the review text, not your identity.
Fragella — provides fragrance catalog data. No personal user data is shared with Fragella.

7. Your rights

You have full control over your data at any time:

Access: You can view your profile, collection, and reviews directly within the app.
Correction and deletion of reviews: You can edit or delete any of your reviews.
Account deletion: You can delete your account from the app settings.
Notifications: You can turn off notifications in your device settings.

8. Data retention

If you delete your account, your personal data is permanently deleted from our servers within 30 days. This includes your name, email, profile, collection, and the text and username of your reviews.

The ratings you submitted in reviews remain only as anonymous contributions to the aggregated community scores and can no longer be linked to you.

Analytics and crash data are kept by Firebase according to its retention settings and are not linked to your account once it is deleted.

If you use the app in guest mode, your profile and collection are stored only on your device.

9. Children’s privacy

ScentPass is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

10. Changes to this policy

If we make material changes to this Privacy Policy, we will update the “Last updated” date at the top of this page. We encourage you to review this policy periodically.
